Job Objectives:

  • To own the assigned administrative function

•       Responsible for undertaking full reviews of information

•       Oversee and perform the quality data collation and provision

•       Drive operational excellence across the Store functions

•       Able to react in an ever changing business environment

·        Liaise with the colleagues and other key department stakeholders

Responsibilities:

  • Update and share Store Request Forms with the Store Lead in conjunction with the received material requests (MRFs) from Maintenance Team and Store Replenishment requirements
  • Follow up and ensure all clarifications on materials (including samples) vendor may require are swiftly arranged through the FM team
  • Make sure the materials delivered by vendors are in line with the store request and acknowledge the delivery upon fulfilment
  • Sort and arrange Materials in the store
  • Conduct physical inventory on monthly basis and report to the Store Lead with the complete information including physical count, material description, location etc. a as minimum
  • Issue the Materials to the maintenance team in response to the MRFs complying to the store requirements, and share daily issuance report with the Store Lead
  • Monitor and advise on stock levels, and submit the internal MRFs for replenishment as and when required
  • Share pricing information as requested by helpdesk/maintenance team
  • Act as a procurement runner for emergency purchases from the market
  • Maintain hardcopies of all store related documents (Material Requests, Store Requests, Delivery Notes, Physical Inventory Reports etc.)
  • Support Store Lead by Acting as focal point for the vendors and material requestor to facilitate the delivery within the lead time in line with the business priorities
  • Produce and update Excel spread sheets, manage databases and document management systems
  • Participate in the enhancement of current process and tools for the department requirements
  • Attend meetings and training courses as requested
