Soft Service Manager - Inspire Integrated Services L.L.C. November 16, 2020 at 07:22AM

Responsible for all soft services activities including managing all manpower relating to housekeeping, cleaning services, pest control, landscaping and waste management as required of Inspire Integrated Services under the terms of the contract with the client.



Main Responsibilities – Focus Areas


  •    Managing day to day activity of soft services on nominated contracts at site, monitoring works and assigning resources to areas of executing works,
  •    Implement BICSc based service delivery for housekeeping and all other cleaning activities.
  •    Manage, operate and maintain facilities to the highest standards and to carry out soft service related work for buildings and their facilities activities by the use of outsourcing/contractors including the management and evaluation of consultants and contractors.
  •    Identify VIP and key areas to all staff to ensure priority is given to these areas with a high attention to detail.
  •    Liaise with the Senior FMs’/Facilities Manager’s and review the routine schedules and make necessary changes as site conditions/circumstances dictate.
  •    Prepare weekly/monthly service delivery reports and submit to SFM’s/FM’s
  •    Manage consumable and chemical spend to ensure that budget is not exceeded.
  •    Maintain sufficient stock in the stores to ensure no stock-outs occur but do not overstock to impact cash flow.
  •    Put together monthly stock order for presentation to the site FM’s before ordering.
  •    Implement and execute cleaning schedules as per contract terms.
  •    Keep up to date with new chemicals, tools and equipment in the market which may improve standards and quality.
  •    Monitor staff attendance sheets and check lists for submission to Senior Management.
  •    Identify staff training requirements – Work with Supervisors and Team leaders to deliver training to close any gaps and improve standards.
  •    Provide on the job training for all staff in order to maintain the high standards expected of Inspire Integrated Services.
  •    Waste management – Including making online collection requests and correct segregation of waste to maximise the amount recycled.
  •    Pest control management – Monitor schedule and ensure compliance, take monthly report of activities.
  •    Landscaping management – Ensure that all landscaped areas are maintained and offer good planting with healthy plants, green grass and weed free beds.
  •    Quality control – Complete weekly audit and communicate findings to the team, give action plan and monitor to completion.
  •    Conduct monthly KPI evaluation with Sub-contractors.
  •    Actively promote a safe working environment and the use of correct PPE.
  •    Participate in Inspire Integrated performance management reviews.
  •    Required to work hours to meet operational needs.
  •    Any other reasonable tasks requested by the management team.



Health & Safety Responsibilities


  •    Direct or attend training/TBT/briefings on a regular basis/as applicable.
  •    Be aware of work place hazards/environmental aspects and controls.
  •    Ensure to conduct your duties in a safe manner and in accordance with company policies and procedures.
  •    In particular, staff are encouraged to take reasonable care of themselves and others and report any unsafe acts/condition to their line manager/HSE representative without delay.
  •    Be aware of and adhere to the company policies and procedures posted on the notice boards or as communicated via tool box talks or HSE briefings.
  •    Use appropriate personal protective equipment for the type of work being performed.
  •  Be aware of responsibilities and actions in case of emergency circumstances.
  •  Report any accident/incident/near misses immediately to line manager/HSE representative without delay, carry out initial investigation and be available to support any further investigation as necessary.
  • Create awareness of and contribute towards zero accidents/incidents.
  • Always ask if in doubt stop the task immediately, seek assistance and report to their immediate line manager.
